DESCRIPTION
We are currently seeking a motivated and skilled Erasmus Project Coordinator to manage and support mobility projects for Spanish sending organizations (schools, consortia, and accredited institutions) participating in Erasmus+ programs. This role requires excellent communication skills, cultural sensitivity, and the ability to manage complex administrative and logistical tasks in a structured and collaborative environment.
Key Responsibilities:
Maintain daily communication with Spanish partners via email, video calls, and phone.
Assist sending organizations with the preparation of Learning Agreements and project documentation.
Manage budgets and invoicing processes related to mobility projects.
Deliver welcome presentations and orientation sessions to incoming participants.
Prepare mobility programs, agendas, and informational materials for participants.
Accompany teachers and institutional representatives during study visits and provide translation support as needed.
Provide ongoing practical support to students and accompanying staff (e.g., medical visits, logistical issues).
Coordinate the planning of future mobility groups in collaboration with Spanish partners.
Prepare participant certifications in accordance with program and institutional guidelines.
Contribute to the drafting of project proposals and reports, and assist in the review of projects submitted by foreign partners.
Represent the organization at promotional events such as the European Contact Tours and annual Contact Seminars.
Support partner selection and relationship building across Europe.
Participate in the development and continuous improvement of project delivery strategies.
Carry out additional tasks relevant to the role, as assigned.
REQUIREMENTS
Skills, education and experience required:
A good command of English, both spoken and written.
A proficient knowledge of Spanish (preferably Mother tongue)
A good command of Italian will be see as additional asset
Drivel Licence (Mandatory)
Degree preferably in education, marketing, political science, sociology, or any other related subject.
Good understanding of IT tools MS Office (especially Excel and Word) + Structure and possibility of Google Docs.
Basic knowledge of the Erasmus+ Program and understanding the difference between VET, SCH, ADU, and HED projects.
Basic knowledge of the Spanish educational system, with a focus on vocational education
Strong understanding of administrative procedures and documentation workflows within a project-based environment
Ability to work in a structured and well-planned manner, similar to the Waterfall approach, as our projects—such as those funded by Erasmus+—often require long-term planning well in advance (e.g., preparing in 2025 for implementation in 2026) Detail-oriented with good analytical skills
Openness to teamwork in an international environment, with an understanding that cultural diversity brings different perspectives, working styles, and communication approaches—and the ability to collaborate constructively within such a setting Communicative, ambitious and result oriented person
Willingness to both give and receive feedback in a constructive manner, while respecting the established structure and hierarchy within the organization
Strong collaboration skills within a cross-functional team environment, where coordination with colleagues from different operational areas (e.g. internship placement, catering, logistics) is essential to ensure the overall success of the project
OFFER
Full-time contract (37.5- 40 hours per week) governed by Italian law, with working hours varying depending on the department’s needs. Please note that during peak seasons the workload and engagement level may increase significantly. Any extra hours worked beyond regular working time can be compensated with time off in agreement with the management. The contract is subject to renewal based on project funding. 26 days of annual leave.

3 months accommodation in individual room in shared flat will be provided as expense reimbursement (all expenses included). The value of the accommodation is 250,00 euro per month and it is covered by the company.
Salary: Starting salaries are based upon academic and professional qualifications.
Additional 13th and 14th monthly salary according to the Italian regulation to be generally paid in December and July/August;
Possibility to use the office car for personal purposes outside of working hours (fuel not included), offering added convenience for daily life in Sicily.
The position is fully on-site and located in Barcellona Pozzo di Gotto (ME), Sicily, Italy. Remote work is not considered for this role, as physical presence and day-to-day collaboration with the local team are essential. Possible travels in Europe may be required.
