To support our growing Paris office, we are seeking a highly organized and proactive Project Coordinator to keep our projects running smoothly and our clients connected.
The Role
As a Project Coordinator, you will be the backbone of our Project Management team. You'll work closely with Project Managers, factories across the globe, and international clients, ensuring seamless communication, flawless documentation, and timely delivery. This is a client-facing role, so professionalism, organization, and clear communication are essential.
What You'll Do
- Perform general administrative, clerical, and executive support tasks to ensure organizational efficiency.
- Generate and process documents for new orders, ensuring all data is stored in our ERP and company platforms.
- Create, issue, and track invoices using company platforms.
- Maintain and update logs, trackers, and documents, ensuring accuracy through cross-checking and critical analysis.
- Review pricing and quantities, cross-referencing with existing records to ensure precision.
- Draft and manage purchase orders using company templates.
- Communicate with clients by email and phone with clarity, professionalism, and a solutions-oriented approach.
- Liaise with global factory teams to confirm production readiness dates and ensure updates are accurately reflected in systems and client communications.
- Generate shipping documents, invoices, and packing lists, verifying accuracy at every stage.
- Receive, log, and distribute samples — photographing and documenting them for internal use.
- Track project milestones and manage timelines using Critical Path Analysis, ensuring deadlines are met.
- Prepare reports and presentations to support client meetings and internal updates.
- Hold internal and external teams accountable for commitments, escalating issues when necessary.
Who You Are
- Highly organized with exceptional attention to detail.
- Skilled in Excel and familiar with ERPs — or a fast learner with the ability to quickly master new systems.
- Strong communicator, fluent in English and French (written and spoken); other languages are a strong plus.
- Professional, pleasant, and confident in client-facing interactions.
- Able to balance multiple priorities in a fast-paced environment, with strong follow-up skills.
- Comfortable working across cultures and time zones with global partners.
- A proactive problem solver who takes ownership and ensures nothing slips through the cracks.
